Calendar Administrators Tips

For those who control calendar functions we have put together this brief guideline as a reminder of procedures.

Once on the web site, click on Calendar of Events button.
Click on Admin Login
Type in user name and password that has been assigned to you
Choose the calendar you wish to make changes to

To add a new event:
Choose the month of the event, then click on the day of the event (be sure to click on the date #)  This will open another screen for the date chosen.

Go to the box labeled: Enter Text for New Event.  Enter a brief description of event.  Note:  You must enter something in this box or you will not be able to create a new event.

Using the tab key you will go to the start time of the event, be sure to indicated if AM or PM.  Enter start time and end time if appropriate. 
Note
: you do not need to enter any time at all to create a new event for the calendar. If no time is entered, no time will appear on the calendar

If you are administering a calendar with other groups (other men's golf, other ladies golf, bridge, etc.) you will to choose the Category you are entering data for.  Click on the arrow next to the category box and highlight the correct category.

Next, place your cursor in the box that says: Enter a URL or text for a pop up window.  Here you will type in the details of the event including contact person if applicable.  If you are making a long entry and have already typed the information elsewhere, you can do a copy/paste and it may save you some time.
Note: You do not need to enter anything in this box.  If left blank, there will be no pop up window for the event.

If the event you are entering is a repeating event (see below) you will go to the next section, otherwise you hit the button that says Create Event  You may now view event on calendar to see how it appears. 

To Edit an existing event:
Choose the month and day of the event (be sure to click on the date #).  This will bring up a screen that lists all events scheduled for that day and the option to add a new event.  Choose the event you want to edit (if a repeating event choose this event only) and click edit.  You will be looking at the same screen that you used to create the event.  Make any changes necessary and then hit the Replace event button to save your work.

To Delete an existing event:
Choose the month and day of the event (be sure to click on the date #).  This will bring up a screen that lists all events scheduled for that day and the option to add a new event.  Choose the event you want to delete (if a repeating event choose this event only) and click delete.  Once you have hit the delete key the event is gone.  There is no undo button so be sure you are deleting the correct event.

Repeating Events:
An event may be set up to repeat daily, weekly, monthly, yearly; every 2nd, 3rd, 4th week,  month, etc; every Monday/Wednesday/Friday, etc.  There are many choices, pick the one the fits the description of the event you are entering.  You must set the length of time you want the repeating event to occur.  It can be forever if you choose or you can pick a specific date.  We suggest only going to the end of the year and perhaps completing in six month increments after that.

Editing or deleting a repeating event:
This is similar to editing or deleting a single event but there is one additional step.  If you choose the event to be edited or deleted, you will notice you have a choice to change current event only or all repeating events into the future.  If your intent is to change all future events, be sure to click on the all button.  The default is to change only the event for the date you chose.

 

At the end of your calendar session be sure to go to the bottom of the calendar and logout!
